Email Signature Best Practices for Business
Brand Consistency Across Teams
When every employee uses a different email signature format, it looks unprofessional. Establish a company-wide template that includes the company logo, standard colors, and consistent formatting. The corporate template provides a polished, standardized look that works for entire teams.
Design Guidelines
Keep signatures under 650 pixels wide to prevent horizontal scrolling on mobile. Use web-safe fonts (Arial, Georgia, Verdana). Limit colors to your brand palette — two or three colors maximum. Don't use background images as many email clients strip them. For a clean look, try the minimal template.
Legal Considerations
Some industries require legal disclaimers in email signatures. Financial services, healthcare, and law firms often need confidentiality notices. If required, keep the disclaimer short and in a smaller font size. Place it below the main signature content so it doesn't overshadow your contact information.
Mobile Optimization
Over 60% of emails are opened on mobile devices. Test your signature on both desktop and mobile. Avoid wide images that break on small screens. Use a single-column layout when possible. Tap targets (phone numbers, links) should be large enough to tap easily — at least 44×44 pixels.
