PDF vs DOCX Resume: Which Format Should You Submit?

Sunil Kalikayi4/8/20264 min read

The Short Answer

PDF is the safe default for most job applications. It preserves your formatting exactly across every device and operating system. However, some employers and ATS systems prefer or require DOCX (Word format), and some online application portals only accept specific formats. Always read the job posting carefully before submitting.

When to Send PDF

Choose PDF when: the job posting says 'PDF preferred,' you are emailing your resume directly to a hiring manager, the role is in a design-sensitive field where formatting matters, or you want to ensure no accidental edits by the recipient. PDF locks your layout — columns, fonts, and spacing stay exactly as you designed them.

When to Send DOCX

Choose DOCX when: the job posting explicitly requests Word format, the company uses an older ATS system known to struggle with PDFs, the recruiter asks for a Word version to edit (staffing agencies often do this), or the application portal only accepts .docx. DOCX files are also useful when you need to quickly customize your resume for each application.

How ATS Systems Handle Each Format

Modern ATS platforms (Workday, Greenhouse, Lever, iCIMS) handle PDF well. Older systems may misparse PDF columns into garbled text. If you are applying through a company portal and unsure of their ATS, DOCX is the safer bet. Using a single-column layout in your PDF also improves ATS parsing reliability — all FreeResumePick templates are tested for single-column ATS compatibility.

PNG Format: When It Makes Sense

PNG is not for job applications — it is for sharing your resume as an image on LinkedIn, in a portfolio, or in a digital presentation. Recruiters cannot search a PNG, and ATS systems reject it. Use PNG only for visual sharing, and always send PDF or DOCX for actual applications. FreeResumePick supports all three export formats so you have the right file for every situation.
